    1. 1. Touch Pay Terms Overview

      Touch Pay at Aston University cashless payment and loyalty account: Terms and Conditions of issue and use 1. Touch Pay at Aston University overview 1.1. All Aston University members, when registered on the Touch Pay scheme will have their uniCARD ID card activated for use for Touch Pay allowing them to: 1.1.1. Plan and pay for food across the University, assisting them to manage expenditure throughout the year. 1.1.2. Funds are added via an online portal and credited to users’ accounts. 1.1.3. The ID card can then be used as a form of payment, if funds are available. 1.1.4. Touch Pay is not a credit facility. 1.1.5. Collect and redeem loyalty points at all participating campus food and retail outlets. 1.2. Touch Pay will NOT permit the purchase of gambling products or alcohol in any University area and cannot be used in campus bars. 2. Membership, Discounts and Loyalty 2.1. Only student and staff members of Aston University will be eligible to apply for a Touch Pay account 2.2. A Touch Pay account is personal to the registered Touch Pay account holder 2.2.1. Any dealings that are necessary will be with the account holder 2.2.2. Although account holders can arrange for a third party to top-up their account on their behalf, we will only deal with the registered account holder 2.3 Membership to Touch Pay does not offer a discount at the point of purchase. 2.4 The Aston University loyalty scheme that applies to purchases made in participating Campus outlets, will enable the user to collect loyalty points on each purchase made, regardless of payment method, when the card is presented to the reader at the point of purchase. 2.4.1 5 points will be added to the user account for each full £1.00 spent within the transaction. 2.4.2 Points will be added at the point of purchase on each full GBP spent and will not be added for the cumulative total spend on users’ accounts. 2.4.3 The value of 1 point is equal to £0.01. 3. Opening an account 3.1. An account can be accessed for the first time via www.aston.ac.uk/food 3.2 At the beginning of the academic year, IT Services will email all eligible users with their username, password and URL to access the Touch Pay portal. Once you have received this email, you will be able to login to your account, add funds and view loyalty point totals. 3.3. Your Touch Pay account runs from your uniCARD ID card as issued to you during enrolment, or for Staff, during your induction. 3.4.1 New Students joining the University will be issued with a Student uniCARD ID card that will incorporate the Touch Pay technology. 3.4.1 New members of Staff will be issued with their card during their induction process. 3.4. We reserve the right to refuse acceptance onto the Touch Pay cashless payment scheme. 4. Online Payments 4.1. Online payments into the Touch Pay scheme can be made via the URL sent with your login details or directly via the website at www.aston.ac.uk/food 4.2. Use of the online payment system is governed by the applicable terms and conditions at the relevant time. 4.3 All payments are processed by an external payment provider. No payment details will be held by Aston University or the food and retail outlets. 4.4 Any queries regarding payments should be sent to touchpay@aston.ac.uk in the first instance. 5. Card ownership 5.1. The Card will remain the property of Aston University at all times. 5.2 Aston University’s terms and conditions of card issue will apply at all times. 6. Communication 6.1. Communication with Touch Pay account holders, once registration has been completed, will be via their registered Aston University email address ending @aston.ac.uk 6.2. It is the obligation of the registered Touch Pay account holder to inform us of any changes to their contact details. Notification of changes should be made via email to touchpay@aston.ac.uk 7. Areas of availability 7.1. The full list of cafés and restaurants accepting the Touch Pay card can be found at www.aston.ac.uk/food 8. Topping up 8.1. Account holders and third parties may make additional payments to top-up a Touch Pay account online via the Touch Pay website www.aston.ac.uk/food 8.2. Only payments online will be accepted and can be paid by debit or credit card 8.3. Account holders should allow up to 24 hours for funds to clear 8.4. The minimum top-up payment will be £5 8.5. There is no maximum amount that can be loaded into an online Touch Pay account. 8.6. All funds will be stored securely in an online account and will be drawn only at the point of purchase. No funds are stored independently on your ID card. 9. Termination/suspension of Touch Pay scheme 9.1. The Touch Pay scheme has no scheduled end but will be reviewed by Aston University catering services on an annual basis 9.2. The University reserves the right to terminate or suspend the operation of the Touch Pay scheme for any reason at any time 9.2.1. Registered Touch Pay account holders will receive a full refund of any unspent funds in the event of termination or suspension of the Touch Pay scheme 10. Withdrawal from Touch Pay scheme 10.1. There is no requirement to withdraw from the Touch Pay scheme. If you do not login, or add funds to your account, the account will remain dormant until you leave the University. After which time, the account will be closed on 31st August, or two months, whichever is sooner, following the last full day of your final year, or the last day of your employment with Aston University. 10.2. When leaving the University and subsequently the Touch Pay scheme, account holders must specify whether they require a refund. If a refund is not specified we will assume that the Touch Pay account holder will spend any remaining funds on their Touch Pay card to reach a zero balance. 10.3. Refunds from unspent balances on a Touch Pay account will not be provided automatically in the event of an account holder leaving the University. The account holder must request to be withdrawn from the Touch Pay scheme to obtain a refund. Funds will be released after two months following your departure date from Aston University. 11. Inactive Accounts 11.1. Any Touch Pay account found to be inactive for a period of 18 months or more will be closed and the balance released back into the University. Refunds will not be available after 18 months or more of inactivity. 12. Refunds 12.1. Refunds will not be automatically processed by Aston University. All refunds must be requested by emailing touchpay@aston.ac.uk. Aston University will use all reasonable endeavours to return all unspent funds on accounts to account holders within 28 days of termination of, or withdrawal from, the Touch Pay scheme. 12.2. Any refund to the user will be processed to the credit/debit card used to add funds to the user’s account. 12.3. Refunds will not be processed for remaining Touch Pay balances below £5.00. 12.4 All refunds will incur an administration fee of £5.00. 13. Fraud 13.1. Once the uniCARD has been issued to you at enrolment/induction, the account holder is responsible for the uniCARD incorporating Touch Pay and the funds on the account unless and until the uniCARD incorporating Touch Pay is returned to the University or is reported lost or stolen in accordance with these terms and conditions 13.2. Touch Pay account holders cannot loan their uniCARD to any other person. It is for the exclusive use of the registered account holder and not otherwise 13.3. Anyone discovered attempting to defraud the Touch Pay scheme will be subject to University disciplinary procedures and/or will be reported to the Police for further investigation/prosecution 13.4. Touch Pay account holders cannot transfer money from their Touch Pay account onto another account holder’s card 13.5. The uniCARD incorporating Touch Pay is not transferable 13.6. In all transactions requiring the use of the uniCARD Touch Pay card the outlet will expect to be able to identify the holder of the uniCARD Touch Pay card as being bona-fide. Failing this, the University has notified outlets to request that an individual offering a uniCARD Touch Pay card for the purchase of goods or services should produce an alternative form of ID 13.7. The University reserves the right to retain the uniCARD Touch Pay card at any time and in its absolute discretion 14. Lost/stolen cards 14.1. In the event of an account holder losing their uniCARD Touch Pay card they must as soon as is reasonably practicable report the loss of the card to the ISA/Security helpdesk: Online at http://www1.aston.ac.uk/ict/studentguide/unicard/lost/ Telephone: 0121 204 4803 Email: security@aston.ac.uk 14.1.1. Following initial notification, and as soon as is practicable, the account holder must report in person to the ISA helpdesk in East G of the Main Building (Monday – Friday 09:00 – 17:00) to organise a replacement card and to complete the lost card report form and must be able to identify themselves as the bona-fide holder of the card 14.2. Once the loss has been reported online via the Touch Pay website and recorded, as described above, the uniCARD Touch Pay account holder will not be liable for any subsequent transactions. A uniCARD Touch Pay card reported as lost will thereafter be void for the Touch Pay scheme. 14.3. The account holder will be able to collect a replacement uniCARD Touch Pay card from the ISA Helpdesk for collection (with ID such as their passport, driving licence) 14.3.1. Where possible, a new card will be issued the same day 14.3.2. The value of any unutilised credit on the old card will be transferred as a credit to the new card 14.4. There is a charge for replacing a lost uniCARD ID card incorporating Touch Pay. This charge is set and controlled by Aston University IT services. 14.4.1. The charge will not apply where the card has been stolen and a crime number has been obtained for the theft. 15. Corrupt/damaged cards 15.1. When a uniCARD Touch Pay card cannot be read by the card reader at the payment terminal, the account holder will be asked to report to the ISA Helpdesk to obtain a replacement uniCARD Touch Pay card. 15.2. The account holder will receive a new uniCARD the same day and the ISA help desk will ensure it is activated ready to use on the Touch Pay scheme. 16. Data protection 16.1. Aston University undertakes to meet the conditions of the Data Protection Act 1998 when collecting personal data. The data collected will only be that offered by the user and will only be used for the purposes of the Touch Pay scheme and will not be disclosed to any unauthorised person or organisation. 16.2 All payment information is processed by an external third party and no details are held by Aston University, Catering@Aston or the individual retail outlets. 17. Feedback procedure 17.1. All feedback regarding any aspect of the local services should be directed to the manager of the particular outlet/area. Please ask a member of staff in the outlet for details of the feedback process. Alternatively, full details can be found on the website of each unit. 17.2.
